Lost Your Pay Stub? Here's Exactly What to Do

Lost Your Pay Stub? Here's Exactly What to Do

Don't Panic — You Have Options

A lost pay stub is recoverable. The right path depends on whether you're a W-2 employee, 1099 contractor, or self-employed.

Option 1: Employer Self-Service Portal

Most employers in 2026 use a portal (ADP, Gusto, Paychex, Workday, Rippling, Justworks). Log in and download historical stubs — usually available for 12–24 months.

Action: Search your email for "payroll account" or "employee portal" to find the login link.

Option 2: Ask Your HR or Payroll Department

If you can't find the portal, email HR. By law, employers must keep payroll records for at least 3 years (FLSA), and many states require longer. They can reissue a copy — often free, occasionally for a small fee.

Option 3: Bank Statement as Proof

If you only need to prove income (not produce the original document), recent direct deposit transactions on a bank statement often satisfy landlords and lenders. Combine 2–3 months of statements with a verification letter from your employer.

Option 4: Use Your W-2 or Tax Return

For older periods, your annual W-2 or 1040 tax return is acceptable proof of income for most loan and visa applications.

Option 5: Generate a Replacement Pay Stub

If you're self-employed, a freelancer, gig worker, or your employer is unresponsive, you can generate a pay stub yourself using your real earnings data. Use your bank deposits, invoices, or 1099s as the source of truth for gross pay.

⚠️ **Important:** Pay stubs you generate must reflect actual income earned. Falsifying income is fraud — see our guide on [fake pay stub consequences](/blog/fake-pay-stub-consequences).

Checklist Before You Request a Replacement

  • Pay period start and end dates
  • Pay date
  • Approximate gross pay
  • Approximate net pay
  • Employer name and address
